Stock Control Data Administrator

Job Summary:
We are seeking a highly organized and detail-focused Stock Control Data Administrator to support inventory management and service operations within a remote service-based environment. This role is responsible for accurately maintaining records related to workshop repairs, onsite service activities, and inventory usage. Additionally, the position includes light invoicing responsibilities to ensure proper documentation and billing alignment. The ideal candidate is meticulous, self-motivated, and capable of handling data across multiple systems with accuracy and timeliness.
 

Key Responsibilities

Inventory Data Entry & Coordination

• Enter inventory transactions such as parts issued for repairs, stock movements, and receipts.
• Maintain and update part numbers, descriptions, supplier information, and quantities in the system.
• Ensure real-time or end-of-day stock entries are accurate and complete.

Service & Maintenance Data Entry

• Accurately input completed workshop service sheets, including labor, part usage, and technician notes.
• Record and process data from field technician service reports following onsite maintenance activities.
• Ensure all job documentation supports inventory and billing processes.

Data Quality & Accuracy

• Review all data for accuracy, consistency, and completeness.
• Identify and resolve discrepancies or escalate issues to the Stock Controller.
• Maintain high standards of data integrity and confidentiality across systems.

Invoicing Support

• Assist with generating and reviewing invoices for completed service jobs, ensuring alignment with service records and parts used.
• Verify invoice accuracy by cross-checking job data, stock consumption, and customer information.
• Liaise with internal teams to clarify billing queries or resolve discrepancies.

Reporting & Record Maintenance

• Support the preparation of weekly and monthly reports related to inventory usage, service performance, and invoicing metrics.
• Maintain detailed records to support operational reporting, audits, and compliance checks.
• Contribute to continuous improvements in data handling processes.

Cross-Functional Collaboration

• Work closely with workshop, logistics, procurement, and finance teams to ensure cohesive documentation and process flow.
• Participate in virtual meetings and communication channels to support cross-department coordination.
• Assist in standardizing service and stock data processes across remote teams.

Qualifications and Requirements

• 5 years of experience in inventory, data entry, or service administration roles.
• Prior exposure to maintenance, workshop, or equipment servicing environments is preferred.
• High attention to detail with proven data accuracy and documentation skills.
• Proficient in Excel, Google Sheets, and service or inventory management software.
• Familiarity with invoicing workflows or basic billing systems is required.
• Strong time management, communication, and problem-solving abilities.
• Comfortable working independently in a fully remote setting with minimal supervision.
• Understanding of trailer components, maintenance terminology, or service logistics is a plus.
