Sales Support Specialist

We are seeking a Sales Support Specialist to ensure that every distributor quotation receives consistent, professional, and documented follow-up. This role is critical to preventing qualified pump and engineered product opportunities from becoming stalled or lost after quotations are issued.

The ideal candidate will have 5+ years of sales support, inside sales, quotation coordination, or commercial operations experience in an industrial manufacturing or engineered products environment (pumps, valves, rotating equipment, fluid handling). This is a hands-on, distributor-facing position requiring disciplined follow-through, strong written communication, CRM proficiency, and familiarity with B2B technical products. You will monitor all open quotations, maintain weekly distributor follow-up cadence, document next steps, escalate stalled opportunities, and support the transition of successful quotations into purchase orders.

Job Responsibilities:

  • Monitor all distributor quotations from issuance through purchase-order receipt or final disposition.
  • Maintain complete and accurate quote records in CRM (HubSpot, Salesforce, Zoho, or equivalent).
  • Confirm every quotation includes quote number, date issued, value, distributor, end customer, pump/application info, assigned sales rep, status, next step, and expected decision date.
  • Review quote-aging reports and identify opportunities that have not received timely follow-up.
  • Flag incomplete, duplicated, expired, stalled, or incorrectly classified quotations.
  • Send structured weekly follow-up emails to every distributor with open quotations.
  • Prepare consolidated distributor-specific emails listing all active quotes rather than individual messages.
  • Request clear updates including customer review status, project status, technical/commercial questions, expected decision date, anticipated PO date, competitive concerns, and need for revisions.
  • Follow up via text message or other approved channels when appropriate, maintaining professional and persistent communication without unnecessary pressure.
  • Record all emails, messages, distributor responses, commitments, and next actions in the CRM.
  • Update opportunity stages, follow-up dates, expected close dates, quote values, and status information.
  • Create CRM tasks for salespeople, engineers, or operations team members when action is required.
  • Ensure no active quotation remains in CRM without a future follow-up task scheduled.
  • Work with CRM/FSM Specialist to improve follow-up workflows, templates, automated reminders, dashboards, and quote-aging reports.
  • Serve as central point of coordination for open quotation follow-up within the sales office.
  • Keep assigned sales representatives informed about distributor responses, objections, delays, and purchase-order expectations.
  • Route pricing questions, pump-selection concerns, specifications, applications, and commercial exceptions to appropriate salesperson or engineer.
  • Follow up internally to ensure distributor questions are answered promptly.
  • Help ensure revised quotes or requested documentation are returned to distributors on time.
  • Monitor opportunities expected to convert into purchase orders.
  • Follow up on verbal or written commitments that have not yet resulted in formal orders.
  • Confirm receipt of purchase orders and required supporting documentation.
  • Check that purchase-order information matches applicable quotations before handoff.
  • Coordinate clean transition to sales administration, operations, engineering, or order fulfillment.
  • Continue monitoring transactions until ownership of confirmed orders is formally accepted by fulfillment team.
  • Prepare weekly open-quote and follow-up reports for sales leadership.
  • Highlight new quotations, quotes contacted, distributor responses, quotes with no response, high-value opportunities, expected purchase orders, quotes requiring action, stalled opportunities, and won/lost quotations.
  • Escalate strategic, high-value, overdue, or at-risk opportunities to appropriate sales representative or leader.
  • Capture consistent win, loss, delay, and no-decision reasons to improve future conversion.

Qualifications:

  • Minimum 5+ years of hands-on experience in sales support, inside sales support, quotation coordination, order coordination, customer service, or commercial operations.
  • Proven experience working in industrial manufacturing, engineered products, pumps, valves, rotating equipment, fluid handling, or comparable technical environment.
  • Demonstrated experience supporting distributors, dealers, resellers, channel partners, or B2B accounts.
  • Hands-on experience using CRM systems (HubSpot, Salesforce, Zoho, or comparable).
  • Strong experience maintaining opportunity records, follow-up tasks, sales notes, stages, and expected close dates.
  • Strong professional written English, particularly for concise and tactful follow-up emails.
  • Excellent attention to detail and ability to manage numerous open transactions simultaneously.
  • Demonstrated persistence, personal accountability, and ability to work independently.
  • Ability to interpret basic quotation information, product descriptions, pricing, quantities, lead times, and customer requirements.
  • Comfortable coordinating with sales, engineering, finance, operations, and fulfillment teams.
  • Direct experience in pump, valve, rotating-equipment, water, wastewater, chemical-processing, mining, oil and gas, or industrial-equipment sector is strongly preferred.
  • Previous employment with pump manufacturer, industrial distributor, manufacturer's representative, or engineered-to-order business is strongly preferred.
  • Experience with ERP or order-processing systems is preferred.
  • Familiarity with long-cycle B2B quotations and distributor-led sales is preferred.
  • Experience producing quote-aging, pipeline, conversion, or follow-up reports is preferred.
  • Familiarity with technical sales terminology, RFQs, purchase orders, quote revisions, lead times, and order handoffs is preferred.
