Sales Support Administrator I, II, III
Concertina is hiring Sales Support Administrators (Levels I, II, and III) on behalf of our client, a leading industrial manufacturing company. These full-time, work-from-home positions are ideal for highly organized, detail-oriented professionals with varying levels of experience in sales support, customer service, and order management.
You’ll play a critical role in supporting the sales team by processing orders, managing quotes, and ensuring timely, accurate communication with clients and internal departments. These roles require strong organizational skills, attention to detail, and the ability to thrive in a high-pressure, fast-paced environment.
Job Responsibilities:
Order & Quote Management
- Prepare accurate quotations and order entries using ERP/CRM systems.
- Review all sales orders for completeness and correctness before routing to engineering.
- Coordinate logistics and delivery schedules with internal departments.
- Maintain digital order files and scan necessary documentation for each project.
Customer & Distributor Support
- Communicate effectively with clients, sales engineers, and distributors to provide product details, lead times, and order statuses.
- Respond promptly to inquiries regarding quotes, orders, parts, and logistics.
- Promote a high standard of customer service and ensure a seamless sales experience.
Collaboration & Project Coordination
- Work closely with Engineering to ensure accurate specifications and system requirements.
- Support marketing and sales managers in maintaining pricing accuracy and CRM data.
- Participate in cross-functional coordination to manage large-scale sales projects.
Level-Specific Responsibilities:
Level I
- Focus on basic quote entry, order processing, and document organization.
- Learn product specs, manufacturing processes, and internal systems.
- Begin training to gradually take on more complex tasks from Level II.
Level II
- Handle more complex quotes and provide backup support to SSA I.
- Take partial ownership of customer communication and internal coordination.
- Begin training on select Level III functions for future development.
Level III
- Lead project management of large orders and oversee the Sales Support team’s workflow.
- Take primary responsibility for mentoring and training SSA I & II.
- Review and approve orders, coordinate interdepartmental timelines, and prepare weekly reports.
- Provide backup support across all levels when needed to ensure timely execution.
Qualifications:
Level I
- 3+ years of experience with high professionalism, willingness to learn, and basic understanding of order entry systems.
- Strong organizational and time management skills.
Level II
- 5+ years in sales support or customer service in a manufacturing environment.
- Ability to work independently and mentor junior staff.
Level III
- 6+ years of experience in sales operations or technical order management.
- Demonstrated leadership, project management, and cross-functional collaboration skills.
All Levels:
- Advanced skills in MS Office (Excel, Word), Adobe Suite, and ERP systems (e.g., Global Shop).
- Excellent verbal and written communication skills.
- Detail-oriented with the ability to multi-task under pressure.
- Helpful: Secondary languages such as Spanish, Farsi, or Mandarin.
