Project Coordinator
We are seeking a proactive and highly organized Project Coordinator to support construction projects from planning through completion. This role serves as the operational bridge between project management, design, procurement, and site execution teams, ensuring timelines, documentation, communication, and logistics run smoothly across multiple active projects.

Job Responsibilities:
Project Planning & Execution Support

Assist in creating, updating, and tracking project schedules, construction calendars, and milestone timelines.

Coordinate project startup activities, including permits, utilities, and site preparation tasks.

Monitor weekly progress updates and workback schedules across multiple concurrent projects.

Support project managers and operations leadership with workflow documentation and meeting follow-ups.
Subcontractor & Vendor Coordination

Schedule and confirm subcontractor work, ensuring proper sequencing, availability, and site access.

Track submittals, material lead times, and delivery schedules to avoid delays.

Coordinate with vendors to ensure alignment with project standards, timelines, and quality expectations.

Collect and maintain required documentation such as insurance certificates, lien waivers, and agreements.
Documentation & Workflow Management

Maintain organized project documentation, including digital folders, binders, and cloud-based systems.

Ensure architectural drawings, specifications, and design directives are current, version-controlled, and properly distributed.

Record meeting notes, create action item lists, and follow up to ensure timely task completion.
Client Communication & Support

Prepare and send regular project updates, including progress summaries, photos, and schedule forecasts.

Assist in coordinating client site visits, meetings, selections, and walkthroughs.

Support a high level of professionalism and responsiveness in all project-related communications.
Cross-Functional Collaboration

Work closely with design, procurement, and field teams to align materials, schedules, and execution.

Identify and flag discrepancies between plans and site conditions, escalating issues as needed.

Contribute to team meetings by highlighting risks, coordination gaps, and improvement opportunities.
Qualifications

Bachelor’s degree in Construction Management, Architecture, Engineering, or a related field (preferred but not required).

4+ years of experience in project coordination, construction administration, or a similar role.

Experience supporting residential, construction, or renovation projects is strongly preferred.

Proficiency in project management and documentation tools such as Procore, Buildertrend, Monday.com, or similar platforms.

Strong working knowledge of construction workflows, permitting processes, and vendor coordination.

Excellent organizational, multitasking, and time-management skills.

Clear and professional written and verbal communication skills.
