Project Accountant

We are seeking a Project Accountant to manage accounting operations for a construction company. This role owns project accounting, accounts payable coordination, cash management, and job cost tracking across multiple active projects. You'll work closely with project managers, vendors, and the accounting team to ensure accurate billing, cost control, and financial reporting.

The ideal candidate has at least 5 years of construction accounting experience and strong proficiency with construction ERP systems. You'll be detail-oriented, comfortable multitasking across competing priorities, and confident coordinating with subcontractors, vendors, and internal stakeholders. This role requires accuracy in job cost accounting, lien waiver management, and project financial analysis.

Job Responsibilities:

AP & Cash Management

  • Process daily invoice and expense entries into accounting software, including reconciliation and payment of corporate credit cards.
  • Assist with cash management of bank accounts, including processing EFT payments, payroll tax deposits, wire transfers, and other transactions as requested.
  • Provide administrative support to leadership as needed.

Project Accounting & Cost Control

  • Process, review, track, and maintain subcontractor payment applications, accounts payable for purchase orders, and miscellaneous AP across multiple projects.
  • Manage job cost accounting, including budget control, change order tracking, committed cost control, and job cost transfers.
  • Assist management with profitability projections, manage Work In Process reporting and projections, and investigate project variances.
  • Create and maintain new jobs in the project accounting system, including contract setup.
  • Code all accounts payable to the proper GL account number, job number, and cost code; distribute to the project management team for approval.
  • Process project billings, owner payment applications, and project budgets.
  • Apply cash receipts for project accounts receivable in the accounting system.
  • Prepare monthly projection reports and job cost reports as needed.
  • Communicate with project managers, vendors, and external parties to manage draw requests and coordinate payment requirements.

Compliance & Documentation

  • Generate lien waivers and maintain supporting documentation.
  • Verify subcontractor insurance and business licenses.
  • Manage W-9 updates and vendor file maintenance.
  • Track and update various project and vendor logs.

Process Improvement

  • Identify opportunities to improve accounting processes and systems within the department.
  • Support the development of new systems and workflows for project accounting.

Qualifications:

  • At least 5 years of construction accounting or construction finance experience.
  • Prior experience supporting US-based construction projects or operations.
  • Demonstrated high competency with a fully integrated ERP system.
  • Strong proficiency with Vista Viewpoint, AIA documents, or similar construction accounting software.
  • Advanced proficiency in Microsoft Excel, Word, and Outlook.
  • Excellent communication and time-management skills.
  • Ability to multitask and manage multiple competing priorities simultaneously.
  • Strong attention to detail and accuracy in financial data entry and reconciliation.
  • Comfortable communicating with project managers, subcontractors, vendors, and external parties.
  • Working knowledge of lien law, draw processes, and subcontractor management preferred.
  • Bachelor's degree in accounting or finance preferred.
  • Experience with change order management and project profitability analysis preferred.
