Payroll Specialist

Job Summary: We are seeking a high-energy, disciplined Payroll Specialist with exceptional communication and people skills to join our team. This role is vital in ensuring the accurate and timely processing of payroll for all employees while maintaining compliance with tax regulations and company policies. The Payroll Specialist will work closely with the Director of People & Culture, collaborating across HR and Finance teams to deliver seamless payroll operations and provide outstanding support to employees.

Job Responsibilities:

  • Payroll Processing: Accurately process and maintain employee payroll records, including calculating wages, commissions, bonuses, and deductions. Handle payroll adjustments, terminations, and new hires.
  • Tax Compliance: Ensure proper tax withholding and prepare payroll tax filings in compliance with federal, state, and local laws. Coordinate with external tax agencies as needed.
  • Benefits Administration: Administer employee benefits such as health insurance and retirement plans, ensuring deductions are accurately applied. Maintain detailed records of employee participation.
  • Reporting and Reconciliation: Generate payroll-related reports for management, finance, and HR. Reconcile payroll data with accounting and resolve discrepancies promptly.
  • Employee Support: Address employee inquiries related to payroll, benefits, deductions, and time-off balances. Provide guidance on payroll processes and assist employees in understanding pay stubs.
  • Compliance and Continuous Improvement: Ensure adherence to labor laws and regulations. Identify opportunities to enhance payroll system efficiency and stay updated on payroll trends and legislative changes.

Qualifications:

  • Education: Bachelor’s degree in Accounting, Finance, Human Resources, or a related field (or equivalent experience).
  • Experience:
  • 2+ years of payroll processing experience, preferably in a large organization.
  • Familiarity with payroll software systems like ADP, Paychex, or similar.
  • Skills:
  • Strong knowledge of payroll processes, tax laws, and employment regulations.
  • Proficiency in MS Excel and other payroll software applications.
  • Excellent organizational skills and attention to detail.
  • Effective communication and problem-solving abilities.
  • Ability to maintain confidentiality with sensitive employee information.

Preferred Qualifications:

  • Certified Payroll Professional (CPP) or equivalent certification.
  • Experience with multi-state payroll processing.

  • Availability to work extra hours during peak periods, such as year-end or quarterly closings.
  • Reliable internet connection and personal computer.
  • UPS/battery backup to ensure continuity during blackouts.
