Paralegal Support

We are seeking a Patent Prosecution Paralegal to support U.S. patent prosecution practice at an intellectual property law firm. This fully remote role focuses on mechanical patent prosecution tasks, docketing, document preparation, USPTO filings, patent drawing preparation, and internal workflow support.

Ideal candidate has 5+ years supporting U.S. patent prosecution, hands-on AppColl experience, and proven ability to incorporate AI into paralegal workflows. You'll work closely with patent attorneys, manage prosecution deadlines, prepare USPTO documents, and help advance the firm's use of AI in patent support work.

Job Responsibilities:

  • Prepare and file documents with USPTO through Patent Center.
  • Prepare Information Disclosure Statements, forms, reference listings, and submission materials.
  • Prepare shell responses and standard prosecution documents for attorney review.
  • Prepare assignments, declarations, powers of attorney, application data sheets, and routine patent forms.
  • Open new matters in AppColl and maintain accurate matter data.
  • Enter, update, and monitor docketing information in AppColl.
  • Track patent prosecution deadlines and assist with internal deadline management.
  • Review USPTO correspondence and identify relevant deadlines and required actions.
  • Organize and maintain electronic patent files.
  • Support attorneys and staff with mechanical prosecution tasks and workflow management.
  • Assist with PCT and foreign patent prosecution support as needed.
  • Follow client-specific patent prosecution procedures, filing requirements, and protocols.
  • Follow KL IP procedures, templates, checklists, and quality-control processes.
  • Use firm-approved AI tools to prepare first drafts, summarize correspondence, organize materials, and check documents.
  • Verify all AI-assisted work for accuracy before attorney review.
  • Identify opportunities to incorporate AI into paralegal workflows.
  • Help test, refine, and document AI-assisted processes in firm procedures.
  • Communicate clearly with attorneys and staff without unnecessary escalation.
  • Manage multiple matters and deadlines accurately.
  • Support USPTO Patent Center filings and formal document preparation.
  • Maintain confidentiality and secure handling of client information.

Qualifications:

  • Bachelor's degree required.
  • Minimum 5+ years supporting U.S. patent preparation and prosecution.
  • Hands-on experience with AppColl strongly preferred; comparable IP docketing systems considered.
  • Experience preparing and filing documents through USPTO Patent Center.
  • Experience preparing IDSs, formal documents, and routine prosecution filings.
  • Familiarity with U.S. patent prosecution deadlines and docketing practices.
  • Strong understanding of patent prosecution workflow from filing through issuance.
  • Excellent written English and strong attention to detail.
  • Ability to follow written procedures, templates, and docketing instructions.
  • Ability to manage multiple matters and deadlines accurately.
  • Proficiency with Microsoft Word, Outlook, Excel, Adobe Acrobat, and electronic document management.
  • Experience incorporating AI tools into paralegal tasks and verifying AI work product.
  • Experience opening new patent matters in AppColl is preferred.
  • Experience reviewing USPTO correspondence and identifying docketing requirements is preferred.
  • Familiarity with PCT procedures and foreign filing/prosecution is preferred.
  • Experience preparing shell responses to Office Actions is preferred.
  • Experience with assignment recordation and formal document management is preferred.
  • Experience using Microsoft Visio for technical diagrams and patent figures is preferred.
  • Ability to convert sketches and descriptions into clean patent figures is preferred.
  • Prior remote work experience in patent law firm or IP department is preferred.
  • Experience designing or documenting AI-assisted processes in law firms is preferred.
  • Familiarity with confidentiality and data-security practices for AI tools is preferred.
  • Extremely detail-oriented and deadline-conscious.
  • Comfortable with repetitive, mechanical, high-accuracy prosecution tasks.
  • Able to work independently while following firm procedures.
  • Careful about escalating questions appropriately.
  • Organized, reliable, and responsive.
  • Strong commitment to confidentiality and secure handling of client information.
  • Curious about new technology and motivated to improve workflows while prioritizing accuracy.
