Marketing Project Coordinator

We are seeking an experienced Marketing Project Coordinator to own project management, client follow-through, and tactical execution coordination across multiple B2B client accounts. This role sits between strategic marketing leadership and the execution team—translating client communications and strategy into organized action, coordinating deliverables, and ensuring nothing falls through the cracks.

The ideal candidate is a senior-level marketing coordinator or marketing operations professional who understands how B2B marketing functions fit together and can operate confidently in both client-facing meetings and behind-the-scenes coordination. You'll manage multiple client accounts simultaneously, speak credibly to marketing fundamentals, and take real ownership of follow-through without waiting to be managed. This is not a purely administrative role—it requires someone who can add value to strategy conversations while excelling at the details that keep complex projects moving.

Job Responsibilities:

  • Translate client emails, meeting notes, and communications into clear tasks, owners, deadlines, and next steps for the execution team.
  • Assign follow-up items to appropriate team members and track completion to ensure client requests are handled accurately and promptly.
  • Draft and send professional client emails related to document reviews, information requests, project status updates, and scheduling.
  • Monitor shared inboxes, email threads, and messaging platforms to ensure clients receive timely and reliable responses.
  • Manage marketing activities across multiple client accounts using project management tools and structured workflows.
  • Capture action items from client emails, meeting notes, and strategy discussions; assign tasks, set deadlines, and track progress.
  • Follow up with internal and external team members to confirm deliverables, document reviews, and information requests are complete before client touchpoints.
  • Maintain strong attention to detail across timelines, task ownership, dependencies, and client expectations.
  • Translate approved strategy and client requests into tactical marketing plans and execution steps.
  • Coordinate with support staff and subject matter experts across messaging, campaigns, content, digital marketing, sales enablement, and reporting.
  • Sit above the tactical execution team and help direct day-to-day work, ensuring clear ownership and follow-up for each task.
  • Quality-check deliverables for accuracy and consistency before they reach clients.
  • Coordinate with designers, writers, digital marketers, marketing operations specialists, and other execution resources as needed.
  • Support the documentation of marketing playbooks, checklists, and repeatable workflows.
  • Join recurring client meetings to support project management, capture tasks, and ensure execution accountability.
  • Identify gaps, blockers, or opportunities in marketing execution and recommend improvements.
  • Contribute grounded marketing-informed observations during client discussions.
  • Maintain marketing processes and workflows once strategic direction has been established.
  • Reduce the need for leadership to personally manage lower-level execution and coordination.

Qualifications:

  • At least 5 years of marketing experience, ideally including project management, marketing operations, or coordinator-level roles.
  • Prior experience supporting US-based clients or US marketing operations.
  • Strong background in B2B marketing, ideally within niche, technical, scientific, industrial, SaaS, automation, life sciences, or other specialized markets.
  • Experience working with lean marketing teams or fractional and outsourced marketing models.
  • Demonstrated ability to manage multiple client accounts, campaigns, or marketing workstreams simultaneously.
  • Experience translating agreed strategy into executable marketing plans.
  • Working understanding of personas, positioning, messaging, campaign execution, content strategy, digital marketing, and sales enablement.
  • Prior experience coordinating designers, writers, digital marketers, developers, marketing operations specialists, or other execution teams.
  • Experience managing client communications, including professional email follow-up, document review coordination, inbox monitoring, and translating meeting notes into assigned tasks.
  • Strong project management and coordination abilities with excellent attention to detail.
  • Ability to sit in meetings, ask thoughtful questions, and contribute sound observations without driving the strategic agenda.
  • Strong task management, delegation, and accountability skills.
  • Comfortable working independently in a remote environment.
  • Proficiency with project management tools and structured marketing workflows.
  • Ability to manage multiple priorities without losing accuracy or momentum.
  • Excellent written and spoken English communication skills.
  • Ability to write polished professional emails, request information clearly, and summarize meeting notes with urgency and professionalism.
  • Confident, self-directed working style; does not require close supervision or structured guidance.
  • Bachelor's degree in marketing, business, communications, or a related field preferred.
  • Experience in fractional or agency-side marketing environments preferred.
  • Familiarity with marketing automation, CRM, or business intelligence platforms preferred.
