Accounts Receivable

Job Summary: The Accounts Receivable Specialist will be responsible for managing the company's billing process, ensuring timely and accurate invoicing, and tracking outstanding balances. This role requires excellent communication skills and the ability to build positive relationships with both internal teams and customers to facilitate timely payments.

CORE RESPONSIBILITIES:

  • Post customer payments by recording cash, checks, and credit card transactions.
  • Complete bank deposit for all payments received in the accounting system.
  • Deposit check payments at the bank through online check scanner, or physical deposits, as necessary.
  • Generate invoices for customers in a timely and accurate manner, ensuring proper documentation and authorization.
  • Track and monitor outstanding receivables, following up on overdue accounts through phone calls, emails, and other communication methods.
  • Reconcile accounts receivable ledger to ensure that all payments are properly posted and accounted for.
  • Prepare and maintain accurate and up-to-date reports on account balances, aging reports, and collections status.
  • Assist with month-end closing processes by preparing reports and documentation related to accounts receivable.
  • Work closely with the sales and customer service teams to resolve disputes and provide updates on account status.
  • Review and process refunds, credits, and adjustments as needed.
  • Sales tax reporting as necessary on projects.
  • Request loan payments for applicable projects.
  • Submit for liens and collections processes.
  • Support audits by providing relevant documentation and reports.
  • Identify opportunities for process improvements and contribute to optimizing the accounts receivable function.

POSITION REQUIREMENTS:

  • Knowledge of general accounting terms and processes.
  • Ability to understand, speak, read, and write in English.
  • High school diploma or GED preferred and 2+ years of experience in accounting, and/or inventory
  • management OR a combination of education and experience that illustrates a proven history in this field.
  • Valid driver’s license, safe driving record, and ability to drive for the company
